Proposal to the Steering Committee for Castine Bicentennial Event
Submitted 11-5-19
Below is an outline of what I intend to provide as a “kick-off” for the
Castine Bicentennial event. My goal is to begin the work on November 6, 2019
and to conclude in one month for a fee of $10,000. If the work outlined runs
over into the second week of December, any such work will be included in
this fee. At the end of this “kick-off” period, and based on the information
obtained over the next month or so, I will plan the next steps in
collaboration with the Steering Committee. The goal now is to continue the
considerable work already begun, as outlined in the two PowerPoint
presentations, and to get the project underway as quickly and effectively as
possible.
I would propose that we have an in-person meeting in Castine during the week
of November 18, at which time I will provide an update on progress and open
items. I can also make myself available on the morning of Monday, December
1, in order to give a report to the Steering Committee, and then make a
presentation to the Selectboard at their regular meeting in the afternoon.
During this month, I plan to:
1. Establish an Overview of Strategy, Positioning and Messaging for the
Celebration that will be Consistent with Fundraising Goals:
2. Preparation of an Outline and Guide for Fundraising:
1. Prepare a one-page document that will provide reasons for supporting event,
as well as an explanation as to what the donations will pay for
2. Establish levels of giving for individuals, sponsors, and special giving
categories
3. ##A second round of asks will have been undertaken##
3. Identify the available grants, grant deadlines, the writer of each grant
proposal, and the reviewer of each proposal before submission
4. Identify and Implement Mechanisms for Accepting Donations
1. To which 501(c) 3 entity should donations be made?
2. Identify the person or persons who will be responsible for (a) handling
the processing of the donations, including the accounting and bookkeeping
tasks, (b) preparing the thank you notes that will make the required tax
notification, and (c) managing the donor list, including the name,
address, email address, and cell phone number of each donor.
The responsibilities of the 501(c)(3) and the Town of Castine:
1. Who will review and sign any agreement with Tall Ships America?
2. Who will obtain and sign for event insurance?
3. Would will own the donor and event database?
4. Who will prepare an agreement between 501(c)(3) and the Town
5. Provide a Program Outline for a two-days Event, with suggestions for
presenters based on discussions with Helen Miller to date, with input to be
added by the Steering Committee.
Proposal of Needed Committees and Chairs for each
Events
Present various options for management of the event to the Steering Committee
Website
Review and present options for development of an event website, including its
content, as well as linkage with other websites, such as Maine Bicentennial,
Tall Ships America, Mine Tourism, and other towns on the Penobscot sponsoring
events, including the ownership and location of the website.
Marketing
Recommendations for marketing and who should be responsible for overseeing it.
Completion of the tasks outlined above in the next month may be dependent on
the response of the Maine Bicentennial Commission and others to questions
pertaining to contracts and donations and other issues. Any delays will be
reported to the Steering Committee at the proposed biweekly meetings.
Liaison
Continuing liaison with Maine Bicentennial and Tall Ships America, as well
as other towns participating in the Celebration, including Bucksport,
Searsport, Bangor and others
I will begin the activities outlined above on your agreement to make payment
to Helen Miller Advisors, LLC in the amount of $10,000, which will be due
and payable upon your giving me the go-ahead to proceed.

Journal
Emma invited the Simmons' to dinner last night. It was nice gesture, and I was
glad to see Jake and Jess. The kids had a great time hanging out. But I couldn't
help but feel like it wasn't a great night to entertain. I was supposed to cook
out on the grill in the dark. I volunteered so it's my fault as much as anyone
else. But it between entertaining and having to drive Kember home after piano,
it was a late night.
I woke up this morning to Emma being frustrated at my inability to set an alarm
that doesn't wake her up at quarter to 5. Nevermind that for most of this school
year Emma has really struggled to wake up in time to get the kids to school.
Maybe I need to take over getting the kids up and out the door in the morning.
